Title:  Receptionist/Office Admin

Reports to:  CFO

Classification:  Non-Exempt / Hourly

Summary:  This position is responsible for the reception duties as outlined below plus providing administrative support for the office.  Also, this position is responsible for managing several general office duties.

Roles and Responsibilities:

 

Reception:

  • Ensure that the switchboard is answered promptly and that all calls are received politely and efficiently.
  • Transfer calls to the appropriate individuals or department.
  • Take telephone messages for the staff and/or transfer calls to appropriate voice mail.
  • Greet visitors to the office, answer questions and direct them to the appropriate individuals.
  • Set up meetings, order lunches and clean up conference rooms as needed
  • Receive and distribute mail to appropriate personnel/departments.  Forward all unopened legal or tax documents to CFO.
  • Data entry of shipping label information into shipping system (UPS, FedEx, etc.).
  • Type a variety of forms, letters, reports and memos.
  • Perform clerical functions incidental to reception activity.
  • Administrative support for CEO and for other departments as necessary.
  • All other duties as assigned.

Office Management:

  • Review, order and restocking of office supplies on an as needed basis.
  • Manage various office vendors such as coffee supply company, shipping company, copier maintenance, etc.
  • Verify office supply and UPS bills
  • Organize and maintain office files and records.
  • All other duties as assigned.
